Firstly, welcome to CT! The aim of this post is to get you started with the services and systems you will end up using day to day. Everyone in the company use them so if you have any questions or need to know how to do something, just ask. Most of these instructions are just to make sure you can get logged into everything, plus a few pointers and little tasks to set you off.
Before we get into it, this page is hosted on Knowledge Base. This site contains loads of introductions, instructions and downloads that the engineers and freelancers use all the time. If you are struggling with a piece of equipment, give it a search on here and see if anyone has encountered the problem before. If you think something is missing, stick it in an email to kb@ctlondon.com
Okta Dashboard
Okta is the single sign on (SSO) provider that we use. It secures all sorts of services so if you haven’t been given your username and password for this, you’re a bit stuck. Your line manager will need to take this up with IT to get it sorted.
If you have got your login, head to the link below where you can login. For extra security you will be forced to set up two-factor authentication.
Once you have done this and logged in, you will get a dashboard. From here you can access web email, submit expenses, look at the training courses on offer and more. What you have on this dashboard will depend on the request made to IT when you started. If in the future you find you are missing stuff, let your manager know.
Web Email
There are hundreds of email clients that you can set up to access your emails on your computer so to get you started we are just going to get you logged into your emails in a browser. At the very least you can then get to your emails and ask for more assistance if you need to.
From the Okta Dashboard, just click on NEP O365 Mail
eDays
By now you’ve probably had enough and need a holiday. Requests for holiday, sick leave, medical appointments all go through eDays. As do time off in lieu (TOIL) and overtime if you are entitled to it.
If you need to take the day off because of sickness, email your line manager directly and add an entry for sickness on eDays as soon as possible.
Log in below where you username is your CT email address and your password will need resetting by following the link. If you reset your password and you do not get an email with a reset link in it, you may not have been set up on the system yet. There is also an eDays app available for Apple and Android
The system is managed by the People Team so let them know if you have any queries.
Employment Hero
Employment Hero is our HR system. On here you will find copies of your contract, salary and all your personal information including emergency contact details. Please make sure you review the details we have for you and update anything which has changed.
All our company polices such as parental leave, compassionate leave, expenses policies etc can all be found here too.
The Ops Pages (aka iCal)
Available on the internal network and over the VPN, the Ops pages have lots of useful information on there including a more friendly work calendar where you can see your colleagues calendars too. This site also has access to our digital prep sheets, accident report form, and plenty of other tools. Your username will be in the format firstnamelastname and a unique password will have been sent to you. If not, head to http://opsuk.cteme.com/iPassword.php to get a new one emailed to you.
Payroll & Payslips
You’re also probably wondering when you might get paid. Payday is usually the 15th of the month. Payslips are sent to you via our online portal which you should be sent a welcome email for once your first payslip has been released, however your login will be your personal email address.
The payroll system is managed by the People Team, so let them know if anything doesn’t look right.
IT Support
If you have made it this far without needing any IT Support then congratulations! However, if you do need some help with IT based things, then your best bet is emailing the IT Helpdesk.
Passwords
Lots of our tech requires a password. There are a couple that are used as standard across the company. Try ‘createch’ or ‘Creat1ve’. These should give you access to most things in our rental stock. If you ever have to set a password on our rental equipment, try to use one of these so others don’t have to reset the kit just to get access to it.
iHasco
Once you have managed to access your emails, you will probably find that you have some emails from iHasco in your inbox – if you haven’t you can look forward to them in the next few days!- iHasco is the online training provider that we use, and yes, sadly you do have to watch the videos to get to the questions. These will need refreshing every year but reminders are sent to you and your line manager.
Office Wifi
You should have been given two logins when you arrived, one is for your email and Okta access and the second is for the Terminal Servers, often referred to as your ‘domain password’. It is the Terminal server login that you will need to use for the CT Office wifi. This WiFi is on the same network as RentalPoint so you do not need to use VPN to access it. You personal devices such as phones and tablets should be joined to CT Mobile where the password is CTMoBil3Devices!!
Fire Evacuations
If the fire alarms sounds without warning, you must evacuate the building. We are meant to tell you what the fire alarm sounds like so you can recognise it……it sounds like a fire alarm!
If you discover a fire, activate the nearest break-glass call points. Only attempt to tackle the fire if:
– You have activated a break-glass call point
– You have had the appropriate fire and fire extinguisher training
– You feel confident in doing so
– Most importantly, you are not putting yourself or anyone else in danger.
Evacuation At Unit E2
There are two different fire evacuation routes depending on where you are in the building. If you in the ‘Front of House’ areas ie: Integrated Networks, the offices, The Bridge or one of the upstairs venues you would typically evacuate out of the front of the building and congregate at the big CT sign at the end of the building nearest to Lok ‘n’ Store. If you are working back of house, ie on the Mezz, or in the warehouse the nearest evacuation route is out the back of the warehouse near the loading bays, through the gate and make your way to the congregation point along the side of the building.
Evacuation At Manor Gate
If the alarm sounds, exit the building using the nearest useable exit and make your way to the vehicle exit gate.
First Aid
Many of the staff in the building are first aid trained so if you require first aid, ask those around you. There are first aid kits in the kitchens and at Reception, and automated defibrillators in the kitchens and in the warehouse.
Smoking
If you are a smoker, the designated smoking areas are just outside shutter one at both buildings. Use the pedestrian pass door next to loading door one at both E2 and Manor Gate . Please dispose of you cigarettes in the bins provided. The buildings are no smoking areas and this includes e-cigarettes.
Parking
Both buildings have ample parking and car charging points for CT staff. Please do not use spaces marked for visitors.
If you have an electric car, you can opt to use the charging points at both buildings. A fob is required to use them and the electricity used will be deducted from your pay at a subsidised rate. Ask your line manager for the current rate as it is reviewed frequently to ensure you are getting a fair deal.
RentalPoint
RentalPoint is the system we use to for stock management. Orders are built on there, the kit prepped according to the paperwork it creates and all equipment is canned onto the job within the system.
To connect to the system, you need to be on a CT network or Wifi, or connect to the Global Protect VPN if you are outside the building.
If you do not have the Remote Desktop Connection configured, please contact IT (see above).
Once you are connected tot he Terminal Servers, you will be able to launch RentalPoint and log in. This username and password is different from any of the others your will have set up abd is managed by Rob Mealin. If you have forgotten your credentials or haven’t been sent them yet, drop him a line.
Expenses
If you incur any work based expenses, for example train tickets, mileage or meals whilst working away, we use a system called Concur for claiming back expenses. There is a web based version that you can access from the NEP Portal, and there is also an app available to download which is makes it much easier to upload receipts to attach to any claims you may need to make. You can access the SAP Concur portal through the Okta Dashboard. The official expenses policy can be found on the policy pages of Employment Hero. It contains the overnight allowances you are entitled to when working away as well as all the things you are permitted to claim as an expense.
Safety Boots & PPE
Safety boots are required for work in the warehouse and on site. You are entitled to new boots every six months. The process for ordering is:
- Visit the Arco website

- Look at the available options and add the boots into the basket, this will give you an idea of the lead time
- Make a note of the code (e.g. 6P1000) along with colour (if applicable) and size
- Please note that anything above £80 may incur a cost to – taken via a salary deduction after acceptance of the boots
- PPE can be ordered through the standard ordering form
- Once delivered you will be notified via email.
